Primary Responsibilities :
Data Collection & Validation
Data Gathering
- Extract and consolidate data from ERP, CRM systems, third-party databases, Excel sheets, and field reports.
- Automate data collection and reporting processes using Power Query, Excel, and Google Sheets.
- Ensure timely availability of accurate data for business reporting.
Data Cleaning & Quality Assurance
- Validate incoming data for completeness, consistency, and accuracy.
- Identify and resolve missing values, duplicate entries, formatting errors, and data inconsistencies.
- Apply business rules to maintain data integrity and reliability.
Master Data Management
- Maintain and update master databases for:
- Products (SKUs, categories, product codes)
- Customers (IDs, territories, segments)
- Sales Representatives (employee IDs, designations)
- Ensure version control and maintain historical records for audit purposes.
2. Incentive Management
- Support the design and administration of sales incentive programs.
- Calculate sales incentives, commissions, bonuses, and Munafa calculations.
- Verify eligibility criteria and commissionable sales data.
- Generate reports supporting incentive payouts and performance rewards.
3. Sales Performance Reporting
- Prepare weekly, monthly, and quarterly sales reports.
- Analyze sales performance by:
- Territory
- Region
- Product Category
- Individual Sales Representatives
- Generate variance analysis reports comparing targets versus actual achievements.
- Highlight top performers and identify underperforming territories.
4. Reporting & Analysis
KPI Monitoring (SFA)
- Monitor key sales KPIs including:
- Call rates
- Doctor visits
- Prescription growth
- Customer acquisition
- Sample utilization
- Maintain CRM and MIS systems with updated performance data.
Root Cause Analysis
- Investigate sales performance gaps and operational issues.
- Analyze:
- Doctor call frequencies
- Order rejections
- Stock-out incidents
- Sales trends
- Provide actionable recommendations to improve performance.
Ad-Hoc Analysis
- Generate customized reports and business insights as requested by management.
- Analyze prescription trends, competitor activities, and market performance.
5. SOP Development & Training
- Develop and update Standard Operating Procedures (SOPs) related to:
- Sales Administration
- Travel Policies
- SFE KPIs
- CRM Usage
- Train new employees on systems and operational processes.
- Conduct dashboard and reporting tool training sessions.
- Provide ongoing user support and troubleshoot data-related issues.
6. Cross-Functional Coordination
- Collaborate closely with:
- Sales Team
- HR Department
- Finance Department
- Distribution Team
- Administration Team
- Reconcile business data and resolve discrepancies.
- Ensure seamless information flow across departments.
7. MIS Reporting & Dashboard Creation
Standard Reporting
- Develop and distribute periodic MIS reports including:
- Primary Sales Reports
- Secondary Sales Reports
- Doctor Sales Reports
- Product-Wise Sales Analysis
- Ensure timely circulation of reports in required formats.
Interactive Dashboard Development
- Build and maintain dashboards using:
- Power BI
- Looker
- Advanced Excel
- Develop interactive reports with filters and slicers for:
- Territory
- Region
- Product Category
- Time Period
Management Scorecards
- Design executive dashboards and scorecards highlighting:
- Sales Growth
- Budget vs Actual
- Territory Performance
- Market Share Trends
- Automate traffic-light indicators (Red, Amber, Green) for performance monitoring.
8. Expense Management
Expense Verification
- Review and validate field expense claims.
- Ensure compliance with company policies and supporting documentation requirements.
- Identify and resolve discrepancies.
Field Team Support
- Address employee queries regarding:
- Expense Policies
- Reimbursement Status
- Claim Procedures
- Deductions
CRM Request Management
- Verify CRM-based expense requests.
- Approve and process reimbursement requests within defined timelines.
- Ensure timely payment releases to support field operations.
