Job Description – Admin Manager

As an Administration Manager at our hotel, you will play a pivotal role in overseeing various administrative functions and ensuring the smooth operations of the organization. Your responsibilities will encompass legal matters, government liaison, document management, security, housekeeping, maintenance, transportation, travel, and office administration. Your expertise and efficient management will contribute to the success of the hotel and facilitate the execution of new projects.

Key Duties and Responsibilities:

Legal Matters:

  • Liaise with legal counsel and ensure compliance with local laws and regulations.
  • Review and draft legal documents, contracts, and agreements.
  • Address legal issues and provide guidance to management regarding legal risks and obligations.

Government Liaison:

  • Serve as a primary point of contact for government authorities, ensuring compliance with regulations and obtaining necessary permits and licenses.
  • Maintain relationships to expedite company work with the authorities.
  • Obtain benefits under tourism policies, tax exemptions, and subsidies from the government.

Document Management:

  • Safeguard and manage important company documents, contracts, and records.

Security:

  • Oversee security protocols and procedures to safeguard the hotel's assets, guests, and staff.
  • Collaborate with security providers to ensure a safe and secure environment for staff and guests.

Maintenance and Preventive Maintenance Contracts:

  • Establish and manage preventive maintenance contracts for all relevant systems and equipment.
  • Coordinate with contractors and service providers to ensure timely and quality work.

New Projects:

  • Oversee and support back-office operations for all new company projects concerning compliances and licenses.

Transportation and Vehicles:

  • Manage the hotel's transportation fleet, including vehicles, drivers, and maintenance.

Office Administration:

  • Oversee day-to-day office operations, including supplies, facilities, and equipment.
  • Streamline administrative processes to improve efficiency and productivity.
  • Support management with administrative tasks and special projects.

Additional Responsibilities:

  • Ensure compliance with the Code of Conduct in HR matters.
  • Maintain proper insurance of assets and related records.
