Overview
We are seeking a proactive, tech-savvy, and growth-driven Executive Operations & AI Assistant to support a team of directors managing international projects across luxury design, construction, and wellness sectors.
This is not a conventional Executive Assistant role — it’s a dynamic, strategic position for someone who thrives on leveraging AI, automation, and digital tools to anticipate needs, streamline operations, and drive efficiency at a leadership level.
Key Responsibilities
Executive Support & Strategic Operations
Act as a right hand to the directors, anticipating needs, managing priorities, and turning broad requests into actionable outcomes.
Manage schedules, calendars, inboxes, travel, and cross-time-zone coordination using automation tools wherever possible.
Prepare and organize meetings, briefs, reports, and follow-ups with discretion and clarity.
Serve as a confidential liaison for internal and external stakeholders.
AI & Automation Integration
Use AI tools (e.g., Microsoft Copilot, ChatGPT, automation platforms) to:
Conduct and summarize research into concise briefing notes.
Draft communications, presentations, and professional documents.
Create smart workflows and maintain digital filing systems (SharePoint/OneDrive with metadata tagging).
Continuously identify and implement automation and efficiency improvements across daily tasks and team operations.
Project & Communication Management
Support social media research and execution (LinkedIn, Instagram, etc.) aligned with business goals.
Track delegated tasks and deliverables, follow up with teams, and maintain real-time dashboards for leadership visibility.
Create and manage templates, reports, and trackers to standardize and enhance workflows.
Lead small to mid-scale projects end-to-end — managing timelines, deliverables, and stakeholder communication with minimal supervision.
Experience Requirements:
Requirements
3+ years of experience as a Personal or Executive Assistant supporting senior management.
Exceptional written and spoken English — able to draft polished correspondence, presentations, and client-facing materials.
Strong proficiency in Microsoft 365, Microsoft Copilot, SharePoint/OneDrive, and automation tools.
Demonstrated use of AI and digital tools to enhance productivity and communication.
Highly organized, detail-oriented, and capable of managing multiple priorities with strong follow-through.
Experienced in research, planning, and execution.
Discreet, reliable, and self-driven, with the ability to work independently while maintaining clear communication with directors.
A continuous learner with curiosity for technology, systems, and business growth.
